A call sheet is the single most important document on a shoot day: it tells every
cast and crew member where to be, when, and what's happening. Here's how to make
one that works.
What every call sheet includes
- Production title, date, day # of total
- Crew call time (when crew arrives) and shooting call (first shot)
- Location(s) with addresses, parking, and nearest hospital
- Weather and sunrise/sunset
- Schedule: scenes to shoot, in order, with page counts
- Cast: who's needed, call times, makeup/wardrobe times
- Crew: departments and contacts
- Notes: meals/lunch time, safety notes, special equipment
Steps to make one
1. Start from your shooting schedule — the scenes for the day drive everything.
2. Set the crew call time; the rest of the day keys off it (first shot, lunch, wrap).
3. Add cast rows with individual call and makeup/wardrobe times.
4. Add key crew and department contacts.
5. Include the map, parking, weather, and nearest hospital.
6. Share it the night before so everyone arrives prepared.
Make it faster
A tool that builds the call sheet from your schedule and cast/crew list — instead
of a blank spreadsheet — saves an hour every shoot day. In The Producers Suite,
Film Assistant generates call sheets with an editable schedule and shares them
with your crew.
